Hirecise provides caregiver hiring software to home-care and care staffing agencies, available at hirecise.com and app.hirecise.com.
Applicant data: when you apply for a role through Hirecise, the agency you apply to decides how your application is used. The agency is the data controller, and Hirecise processes your data on its behalf, following its instructions. Questions about a specific application are best sent to that agency first; we will help them respond.
Agency accounts and our website: for agency account data and visitors to our website, Hirecise is the data controller.

Applicant data: your name, email address and phone number; your address if the agency asks for it; your CV, or the description of your experience you write instead; years of experience, certifications and skills; shift availability; expected pay and any answers to the agency's questions; and a record of your consent.
What agencies record: the agency's own notes and labels on your application, its status, interview details, and which credentials the agency has checked (for example certification, CPR, TB test or background check), with their status, any certificate number and expiry date. For background checks we hold only whether it is needed, received or cleared, never the results or the documents.
Agency account data: name, work email, company name and settings; billing status (payments are handled by our payment provider, and we do not store card numbers); and security logs such as IP address and device information.
Website and technical data: pages visited and general usage on our marketing website (Google Analytics), a bot check on forms (Cloudflare Turnstile), and error reports from the app (Sentry).
Hiring kit sign-ups: if you ask for the caregiver hiring kit on one of our free tool pages, we keep your email address, which tool you signed up from, and when you confirmed or unsubscribed.
Live demo: to open our live demo we ask for your work email and, optionally, your agency's name. We use them to reserve your free trial and to follow up about Hirecise. You can opt out or ask us to delete them at any time.
To help agencies decide who to contact first, the text of an application is sent to Google's Gemini API, which returns a match score and a short summary. Email addresses, phone numbers and links are removed from the text before it is sent.
The score is advice to the agency, not a decision. Hirecise does not reject applicants automatically. A person at the agency reviews applications and makes every hiring decision. If you would like a person to review your application, or an explanation of how it was assessed, contact the agency or privacy@hirecise.com.
Hirecise shows the certifications applicants list. It does not verify them; agencies check credentials themselves before making an offer and can record what they have checked.
If EU or UK data protection law applies to you, we rely on: your consent when you submit an application; the agency's legitimate interest in recruiting; performance of our contract with agencies; our legitimate interests in security and improving the service; and legal obligations where records must be kept.
Hirecise is hosted in the United States. Our database and file storage run on Supabase in AWS's US West (Oregon) region, and the application runs on Vercel in the US.
If you are in the EU, UK or another country with data transfer rules, your data is transferred to the US. We rely on our providers' data processing agreements, which include the European Commission's Standard Contractual Clauses (and the UK addendum) where required.
We share data only with providers that help us run Hirecise, under contracts that limit their use of it:
Applicant data is kept for as long as the agency keeps the application in its account. Agencies can delete applications at any time, and we delete applicant data on request. Agency account data is kept while the account is open and deleted within 12 months of closure, except records we must keep by law (for example, billing records).
Depending on where you live, you may have the right to access, correct, delete, restrict or receive a copy of your personal data, to object to certain processing, and to withdraw consent at any time. To use these rights, contact the agency you applied to or email privacy@hirecise.com. We respond within 30 days and will not treat you differently for using your rights. You may also complain to your local data protection authority.
Data is encrypted in transit (TLS) and at rest. Access to applications is limited to the agency's own workspace, passwords are stored as bcrypt hashes, and administrative access is restricted and logged.
Hirecise is intended for adults applying for work and the agencies that employ them. It is not directed at anyone under 18.
We may update this policy. We will tell agencies about material changes by email, and the date at the top always shows the latest version.
